Key Responsibilities & Duties

 

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
  • Greets and directs visitors, manages visitor, vehicle and log books
  • Organizes and prioritizes large volumes of information and calls
  • Takes and retrieves messages for management team members.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Maintains shared calendars for the management team
  • Reserves and manages conference and meeting room areas
  • Retrieves, receives, sorts and forwards incoming mail. Maintains and routes publications. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Assists with distribution and recording of resident funds
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Acts as a liaison with other departments and outside agencies, including high-level staff.
  • Assists with Business Office functions.
  • Handles confidential and non-routine information.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures, etc.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, presentations, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Keeps all conversations, documents, and business operations confidential along with abiding by HIPAA regulations.
  • Other duties as assigned.

 

Qualifications

  • 1 or more years of experience working as a Front Desk Receptionist
  • High School Diploma, Bachelor's Degree preferred
  • Experience within a healthcare facility/LTC preferred
  • Strong customer service and time management skills required
  • Must have good computer skills (Microsoft Office Products)
